Reports - Lost Sheep
This article will guide you on how to generate the Lost Sheep report. Lost sheep are members who have not checked into the club in a given time period, have fallen behind in services, or have not taken any classes. 


Requirements - A Master Admin login or a staff login with the following permissions:
  • Reporting - Can access reports 
  • Reporting - Can access clients: lost sheep



Lost Sheep by Club Visits






Lost sheep by club visit will show you members who have not checked into the club over a given time period. Navigate to Reports > Members > Lost Sheep. Select the Club Visits tab. Within this tab, you will be given the option to run this for Active Members or Active Service Agreements. When the Active Service Agreements option is selected, this will show all active PT agreements based on the expiration date of the package and if those users haven't checked in in the past X number of weeks selected. If a client is purchasing PT bookings but does not have an agreement, they will not show in this report, so you will want to use the Services tab in those cases. 





Select a club division (if applicable) and select a time period. Click on Run Report. The results will display below or to export the data, select the floppy disk and choose your method of export: CSV (comma delimited), PDF, or Excel.

The report will contain the following information:

Store ID, Location Name, User ID, Member, Last Club Visit, Member Name, Member Since, Membership Status, Membership Expiration, Customer Status, Frozen, Freeze Ends, Last Check In, Last Contact Date, Contacted By, Contact Type, Phone, Cell Phone, Email, Address, City, State, Zip.



Lost Sheep By Services (If you are set up as a PT Studio, you will only see this tab when running the Lost Sheep Report)






Lost sheep by services will show you members buying services that have either not booked a session over a given time period, or who have had sessions but are not keeping up with their initial commitment number of sessions per week. 

The Services tab allows you to either:

List people that have not had a booking but have session credits available or active draft, or
List people who are not reaching their expected number (based on agreement sold) of sessions per week





Select the filter and click on Run Report. The results will display below or to export the data, select the floppy disk and choose your method of export: CSV (comma delimited), PDF, or Excel.

The report will contain the following information:

Location Name, 
User ID, Member Name, Membership status, Membership Expiration, Customer Status, Frozen, Freeze Ends, Last Booking, Last Booking With, No Show Count, Sessions Remaining, Active EFT?, Last Contact Date, Contacted By, Contact Type, Phone, Cell Phone, Email, Address.



Lost Sheep By Classes



Lost sheep by classes will show you member who have not taken a class during a given time period. 





Click on the Classes tab and select a date range from the calendar or select a preset date range. Then click on Run Report. An Excel file will generate below. Click on Classes Lost Sheep Report to open. 





To export the data, select the floppy disk and choose your method of export: CSV (comma delimited), PDF, or Excel.

The report will contain the following information:

Location Name, 
Member Name, User ID, Phone, Cell Phone, Email, Membership Type, Member Since, Member Status, Member Expiration, Customer StatusFrozen, Freeze Ends, Checkins Last 30 Days, Last Check In, Bookings Last 30 Days, Last Completed Booking, Next Booking, Bookings Next 30 Days, Last 2019 Pay Evergreen, Past Due, Last Contact Date, Contacted By, Contact Type, Member Address, City, State, Zip.
